No email required. Use it today.
FreshBooks charges $30 a month for invoices that all look the same. This one copy-paste prompt generates fully designed, branded HTML invoices in 30 seconds: your colors, your fonts, dark or light theme, and international wire routing built in. Then you turn it into a reusable /invoice skill so you never paste it again.
What You'll Learn
- The full copy-paste invoice prompt with all design specs built in
- Dark theme, custom branding, your fonts and colors
- International wire transfer routing included
- How to turn it into a reusable /invoice skill
How It Works
You paste one prompt into Claude. It asks you two rounds of questions. Round 1 is your branding (name, business, colors, logo style, bank details). You only answer this once. Round 2 is the specific invoice (client, line items, dates, terms). Claude then generates a fully designed HTML invoice you can print to PDF.
The Invoice Prompt
Copy and paste this entire prompt into Claude. It's long on purpose because all the design details are built into it so you don't have to think about formatting:
I want you to generate a professional HTML invoice I can open in my browser and
print to PDF. Before generating it, ask me for the following info in two rounds.
Wait for my answers before moving on.
ROUND 1 - My Branding (this will be reused for every invoice I create):
1. My full name
2. My business/brand name
3. My business email
4. My full mailing address
5. A short tagline or role (optional, shown under the brand name)
6. Brand accent color as a hex code (e.g. #e8875b for orange, #00c48c for green,
#6366f1 for indigo). This will be the single accent color used throughout.
7. Theme preference: "dark" (near-black background, light text) or "light" (white
background, dark text)
8. A logo style preference - pick one:
- "monospace-terminal" (e.g. > BrandName with a blinking cursor block)
- "clean-wordmark" (just the brand name in a bold sans-serif)
- "initials-badge" (initials inside a rounded square)
9. Invoice number format (e.g. "BRAND-YYYY-NNN") and what number to start at
10. My banking details for payment (include whatever applies - domestic transfer,
international wire, PayPal, Stripe link, etc.)
ROUND 2 - This Specific Invoice:
1. Client name, company, address, email
2. Invoice date and due date
3. Project name / description
4. Currency (USD, CAD, EUR, etc.)
5. Line items: for each one give me description, optional sub-description, quantity,
and rate
6. Deposit paid (if any) and payment schedule
7. Payment terms (e.g. Net 14, late fees, who pays wire fees)
8. Scope of work - bullet points of what's being delivered
DESIGN REQUIREMENTS:
- Use Google Fonts: JetBrains Mono for headings/labels/monospace values, Inter for
body copy
- Accent color (from Round 1) used ONLY for: section labels (uppercase,
letter-spaced), the INVOICE title, the amount due, the logo accent, list item
chevrons, and the divider gradient. Everything else is neutral.
- Layout sections in this order:
1. Header: logo + brand on left, INVOICE title + invoice number + status badge on
right, accented bottom border
2. Meta row: three columns - From / Bill To / Details (date, project, currency,
payment method)
3. Gradient divider line that fades through the accent color
4. Line items table with columns: Description (50%), Qty, Rate, Amount.
Description cell stacks bold item name + muted sub-description.
5. Totals box aligned right (300px wide): subtotal, deposit paid (negative),
remaining balance, then a highlighted "Amount Due Now" row using the accent color
and larger monospace type
6. Payment details card. If international wire, show a 3-step structure with
dashed dividers between steps (Correspondent Bank > Beneficiary Bank >
Beneficiary/Recipient > Payment Memo). Otherwise show a single clean list.
7. Payment Terms card - bulleted list with > chevron bullets in accent color
8. Footer: brand name, email link, "Thank you for your business" in muted
monospace
- All cards/blocks: subtle border, rounded 8px corners, inset background one shade
darker than the container
- Status badge next to invoice number: accent background, dark text, rounded,
uppercase monospace
- Include print CSS so Cmd+P produces a clean PDF with no browser padding
- Make it responsive-safe but optimized for 800px max-width desktop/PDF viewing
OUTPUT:
- Generate ONE complete self-contained HTML file (inline CSS, Google Fonts via
@import)
- Save it to ~/Desktop/Invoices/invoice-{client-slug}-{year}-{number}.html (create
the folder if missing)
- Open it in my browser automatically after writing
Start with Round 1. Ask me all the questions at once, wait for my reply, then move
to Round 2.
After Your First Invoice
Once you get an invoice you like, ask Claude to turn it into a reusable skill so you never have to paste the prompt again:
Turn this into a /invoice skill stored in ~/.claude/skills/invoice that remembers my
branding and just asks for the new client's details each time.
Now every future invoice is just /invoice [client name] and Claude handles the rest. Your branding, colors, fonts, and bank details are all saved in the skill.
What Your Invoice Includes
- Branded header: your logo style, invoice number, status badge, and accented border.
- From / Bill To / Details: three-column layout with all the info at a glance.
- Line items table: description with sub-description, quantity, rate, amount. Auto-calculated.
- Totals box: subtotal, deposit, remaining balance, and highlighted Amount Due Now.
- Wire transfer routing: 3-step international wire (correspondent, beneficiary bank, recipient) or simple domestic details.
- Payment terms plus scope: bulleted terms and deliverables list.
The Math
FreshBooks: $30/month = $360/year. QuickBooks: $30/month = $360/year. This prompt: free forever. One paste. Every invoice from here on looks like it was designed by an agency.
